Who we are

This notice explains how Aidoqo Intelligence Pvt Ltd (“Aidoqo”, “we”, “us”) collects and uses personal information through this website. We are responsible for that information as the data controller.

This notice covers this website only. Our client portal and job portal have their own privacy information, and work we do for clients is covered by the agreement we sign with them.

What we collect

We collect only what you give us, and the basic technical information any website receives.

When you contact us

• Your full name and work email address
• Your organisation and country, if you provide them
• The area you are interested in and the purpose of your enquiry
• What you tell us in your message
• Any document you choose to attach, such as an RFP, diagram or brief
• Your agreement that we may reply to you

When you subscribe to Aidoqo Signal

• Your work email address
• When you subscribed, and whether you open or unsubscribe from our emails

When you visit the website

• Technical information sent by your browser, such as IP address, browser type, device type and the pages you request
• The date and time of each request

If you accept analytics cookies

• Pages you view and how long you stay
• Approximate location (country and city), device, browser and screen size
• How you arrived, such as a search engine, a link or LinkedIn
• Actions such as sending an enquiry or subscribing, without the content you entered

We do not ask for sensitive information such as health, financial account or identity numbers through this website. Please do not include them in messages or attachments.

Why we use it

We do not sell your information, and we do not use it for automated decisions that have legal or similarly significant effects on you.

Cookies and analytics

We use Google Analytics to understand which pages are useful and where the website can be improved. It only runs if you choose “Accept analytics” in the cookie banner. If you choose “Reject”, or make no choice, no analytics cookies are set and no analytics data is sent.

We have set Google Analytics so that advertising features and Google signals are off, and analytics data is deleted after 14 months. Google Analytics 4 does not log or store IP addresses. We do not use advertising cookies.

You can change your choice at any time with “Cookie settings” at the bottom of every page. If you withdraw consent, we stop analytics and remove its cookies from your browser. You can also block cookies in your browser settings.

Who we share it with

Your information is handled by Aidoqo staff who need it to respond to you. We also use trusted service providers who process it on our behalf and under our instructions, including:

• Our email provider, for sending and receiving email
• Our CRM and helpdesk systems, where enquiries are recorded and followed up
• Website hosting and security providers
• Google, which provides Google Analytics, if you accept analytics cookies

If an enquiry relates to a product we resell, we may share the details needed with that vendor, such as Red Hat, SUSE, Canonical (Ubuntu), Bitdefender, Acronis or Veeam, to register a deal or obtain a quote. We will tell you before we do this.

We may also disclose information where the law requires it, or to protect our rights, our clients or the public.

International transfers

We work across Rwanda, Zimbabwe, Zambia and Mauritius, and some of our service providers, including Google, store data in other countries, such as the United States. When information moves across borders, we take steps to make sure it stays protected, such as contracts that require providers to apply equivalent safeguards.

How long we keep it

• Enquiries that do not lead to work: up to 24 months after our last contact
• Enquiries that lead to work: for as long as the engagement lasts, then as required for accounting, tax and legal purposes
• Attachments you send: deleted within 12 months unless they become part of an engagement
• Newsletter details: until you unsubscribe, after which we keep only what we need to respect that choice
• Technical logs: up to 90 days, unless needed to investigate a security incident
• Analytics data: 14 months, then deleted automatically by Google Analytics

How we protect it

Protecting data is part of what we do for clients, and we apply the same standards to ourselves. Measures include encrypted connections, access limited to people who need it, multi-factor authentication on our systems, endpoint protection and tested backups.

No system is completely secure. If we become aware of a breach that affects your information, we will notify you and the relevant authority where the law requires it.

Your rights

Depending on where you are, you have the right to:

• Ask for a copy of the information we hold about you
• Ask us to correct information that is wrong or incomplete
• Ask us to delete your information
• Object to, or ask us to restrict, how we use it
• Withdraw your consent at any time, for example by unsubscribing from Aidoqo Signal or rejecting analytics in Cookie settings

To use any of these rights, email inquiries@aidoqo.com with the subject “Privacy request”. We will reply within one month, and may ask you to confirm your identity first.

Laws and regulators

We handle personal information in line with the data protection laws of the countries we work in. You can complain to the relevant regulator if you are unhappy with how we have handled your information, though we would appreciate the chance to put it right first.

Changes to this notice

We may update this notice when our website or the law changes. The date at the top shows when it was last updated. If a change is significant, we will make it clear on the website.
